RE: Campus and Staff Security

Staff:

As more of you return to the office, we still need to be mindful of our “Healthy at Work” guidelines. Also, please maintain the protocols below for the current security of our buildings and colleagues during our altered Covid-19 schedules. Most are for the St. Anthony Campus, however we should all be aware of who is in each of our buildings. Once we go back to normal schedules, it will be much easier for us to keep account of who is on site.

  1. If you plan to come in before or after facilities staff are normally on campus (7:00 AM to 3:00 PM), please send Tony an email or text so he can monitor that the building(s) are being locked and alarms set.
  2. Many staff are still working atypical hours, including weekends, and we cannot assume to be the only person in a building and set an alarm on a colleague or that someone else will set the alarm behind us. A quick sweep of your offices upon leaving is beneficial to determine if you are the last person out or to let a coworker know they are alone.
  3. For those who might move from one building to the next during the workday and especially during odd hours, please be aware that a building’s alarm may be set for the day and you may not have a code to disarm it. If you have questions about entry to and alarm codes for any of the St. Anthony Campus buildings, contact Tony.
  4. Please do not lock the St. Anthony convent storm door prior to 3:00 PM. We must ensure our mail carrier can pick up and deliver the mail. Facilities will try to secure the door after the mail arrives, but we ask if staff will help ensure the door is locked after 3:00 PM when leaving for the day.
  5. If you have UPS or FedEx packages to be delivered:
    1. Make arrangements with your department or team to ensure someone will be available in your building on the day of delivery.
    2. The 4th St. front office is manned Monday-Friday 8:30 AM to 2:30 PM. Let Pat or Sondra you have sent a package so they can expect it and inform Tony so he can deliver to Market St. Please do not assume that staff will automatically know something is coming, what or who it is for, or where it needs to go.
    3. FedEx and UPS will drop packages in the unlocked vestibule leaving them vulnerable to theft. If you happen to notice this, please place them inside the finance office and inform Tony so he can let the recipients know.

The past year has placed us under extraordinary circumstances to perform our work and your accommodations to those difficulties have been appreciated. For the time being, however, it will still take us all working together and looking out for our each other to ensure the security of our facilities. If you have any questions, please do not hesitate to ask. Communicate with your coworkers and always remember to make sure any building is secure and alarms set if you are the last to leave.

Be safe,

Bart and Tony Administration and Facilities
